This policy explains what information Kinode Transcripts (“we”, “us”) collects when you use the Service, how we use it, and the choices you have. The short version: we collect what we need to run the product, we don't sell your data, and you can ask us to delete it.

1. What we collect

Account data: your email address, optional display name, and a salted hash of your password (we never store the password itself).
Content data: transcripts fetched for videos you request, media files you upload for transcription, and AI outputs generated from them. Transcripts are cached server-side so repeat requests are instant and don't re-consume quota.
Usage data: job history (which videos you transcribed and when), quota consumption, API key usage, and authentication events (sign-ins, resets) kept for audit purposes.
Payment data: handled entirely by our payment processors (Stripe, Square, or PayPal). We store the transaction reference, amount, and status; we never see or store your card number.
Optional integrations: if you link Discord for support, we store your Discord ID and username to connect the accounts.

2. Cookies

We use a single signed session cookie to keep you signed in. We do not use third-party advertising or tracking cookies. Your theme preference is stored locally in your browser and never leaves it.

3. How we use information

To provide the Service: fetching, transcribing, caching, and generating outputs.
To enforce quotas and prevent abuse.
To process payments and maintain billing records.
To respond to support requests.
To protect accounts (audit logs, session management, optional two-factor auth).

4. What we don't do

We do not sell or rent your personal data to anyone.
We do not use your content to advertise to you.
We do not share your data with third parties except the processors necessary to run the Service (payments, AI processing) and where required by law.

5. Data retention and deletion

Account data is kept while your account is active. Cached transcripts may persist as shared cache entries even after you clear your personal history; clearing history detaches them from your account. To delete your account and associated personal data entirely, open a support ticket or email us; we'll confirm completion.

6. Account protection

Passwords are hashed with a modern KDF (PBKDF2-SHA-512, 600k iterations), sessions are signed, optional TOTP two-factor authentication is available, and secrets are managed outside the codebase. No system is perfectly safe. Report suspected vulnerabilities to our support address and we'll respond promptly.

7. Children

The Service is not directed at children under 13 (or the applicable minimum age in your jurisdiction), and we do not knowingly collect their data.

8. Changes

We'll post any changes to this policy here and update the effective date. Material changes will be announced on the site or by email.
